When bespoke software is the right call — and when it is overkill

It is the first question we ask, and the first one we answer honestly, even when the honest answer means we do not get the work.

Off-the-shelf SaaS is enough when…
Your process looks much like everyone else's in your industry. A standard tool handles it without workarounds. The subscriptions cost clearly less than building and maintaining a system of your own. In that situation, building from scratch means paying to recreate something that already exists.
Custom development pays for itself when…
You pay for several tools and use about 20% of each. Your team works around the system instead of working in it. Data has to be retyped by hand from one tool into another. Or your process is your advantage, and you have no intention of bending it to fit someone else's software.

A simple test: add up what you pay every month for all your subscriptions, plus the hours your people lose retyping data between them. If that total over two or three years exceeds the cost of building your own system, the conversation is worth having. If it does not, we will tell you so in our first reply.

Conversation and assessment
You describe the process and the part of it that hurts. We tell you whether this is a job for a custom system — and if it is not, we say so straight away.
Scope, quote, sequence
We write down what gets built in the first stage and what we deliberately postpone. The quote covers a defined scope, not a range stretched across two orders of magnitude.
First working version
It reaches you early and runs on real data — because that is the only point at which you can see whether the assumptions held. Typically four weeks, depending on scope.
Further stages and handover
We build on what proved itself. At the end you get the system, the access credentials and the documentation — in a state that lets you maintain it without us, should you decide to.
